We are a small local charity based in the centre of the city providing transport services to people who for various reasons are not able to use conventional bus services.  We have a number of our own mini buses supported by volunteers who use their own cars to provide services.  In addition we provide training and a shopmobility scheme to assist those with mobility problems along with a range of supporting services.

Purpose of the post:

Is to support the General Manager and the Operations Coordinator by undertaking a range of administration functions as well as supporting the operational side of the services including working with volunteers, drivers, partner organisations and customers.

Responsible to:

Reporting to the General Manager and in the event of he/she not being available to the Community Car Coordinator. If neither are available to the Chair or the Treasurer of the Board of Trustees.

Summary of the main Tasks & Duties:

First of all to be a team player whose main tasks and duties are divided into three areas as detailed below.

Talking to and helping people for many customers you will often be the first person they have contact with in our organisation. It is therefore essential that you help us to deliver a reliable friendly service while always remembering that many of our customers have mobility and other health issues.

You will need to explain the services we provide, assist customers to use the mobility equipment, the bus and car services we run as well as assisting others who need help. The work will involve taking bookings and payments for services. With staff and volunteers an important part of the job you will be working with the General Manager and the Community Car Coordinator by checking the availability of equipment, vehicles and drivers including agreeing arrangements with the individuals.

Administration tasks and duties will range from providing the initial records for bookings, recording the income due from them, issuing invoices to checking that cash and other forms of payments are accounted for.  You will also be inputting data into the finance and other systems

You will keep up to date and secure the membership scheme we operate. You will assist the General Manager to maintain, the vehicle maintenance/MOT records, insurance policies and that hours worked by drivers are checked and kept up to date. In addition you will assist the Manager with keeping records of H&S policies, safe working procedures, training, incidents and investigations. You will provide information that helps the manager monitor the performance and the services provided by the organisation.

Management and trustees support will include keeping them informed on any issues likely to affect the daily running of the services.

When the Operations Coordinator is not available you will cover the various schemes ensuring the procedures as set out are followed and the close working relationships with the service users and the volunteer drivers/staff are maintained.

You may be required to attend meetings and undertake other tasks that might arise with the services we provide and the running of the mobility centre.
